Policies

  1. Student-athletes must initiate the notification of transfer process, by submitting the Student-Athlete Notification of Transfer Form via JumpForward when available, and by scan and email before that date. The SA must also sign the NCAA FERPA release for information to be input on the Transfer Portal. This is to be submitted along with the Notification to Transfer.

  2. A student-athlete who is providing notification of transfer must inform his/her head coach in person unless extraordinary circumstances (e.g., physical or sexual abuse by the coach) warrant the student-athlete notifying his/her head coach in writing (e.g., e-mail).

  3. A student-athlete who contacts the Athletics Compliance Office about providing notification of transfer prior to contacting his/her head coach will be informed of the NCAA rules and UAH policies related to the notification and instructed to contact his/her head coach per policy number two above.

  4. Unless extraordinary circumstances warrant the involvement of the student-athlete’s parent(s) (e.g., physical or sexual abuse by the coach), the UAH Athletics Department will only work directly with the student-athlete during the notification of transfer process.

  5. Once a student-athlete provides written notification of transfer via the Student-Athlete Notification of Transfer Form, the student-athlete may (determined on a case-by-case basis) continue to be granted access to the academic computer/study room in Spragins Hall and the sports medicine services provided by the athletic training room staff. Such access may be rescinded after being granted if the student-athlete fails to abide by local, state or federal laws or NCAA, conference, University or Athletics Department rules.

  6. Once a student-athlete provides written notification of transfer via the Student-Athlete Notification of Transfer Form, the student-athlete may not (determined on a case-by-case basis) continue to be granted access to the practice/game facility(ies) for the sport(s), the strength and conditioning weight rooms or the locker room for the team(s) on which the student-athlete was a member.

  7. Once a student-athlete provides written notification of transfer via the Student-Athlete Notification of Transfer Form, the student-athlete may be required (determined on a case-by-case basis) to return all team issued equipment and workout apparel within five business days of notification of transfer if the student-athlete is no longer on the team, or five business days after the end of the season if the student-athlete remains on the team for the rest of the season. Failure to return the team issued equipment and apparel upon request may result in a charge for the items being placed on the student-athlete’s student account.

  8. The head coach will make notification of transfer process decisions with final approval by the Director of Athletics.

 

Procedures

  1. The student-athlete meets with his/her head coach to discuss the notification of transfer or notifies his/her head coach in writing (e.g., e-mail) if extraordinary circumstances (e.g., physical or sexual abuse by the coach) are involved in the notification of transfer.

  2. The student-athlete submits the Student-Athlete Notification of Transfer Form via JumpForward or scan and email to the Dir. of Athletic Compliance prior to implementation of JumpForward, woltjenj@uah.edu.

  3. The Athletics Compliance Office enters the student-athlete’s information into the national transfer database within two business days of receiving the Student-Athlete Notification of Transfer Form.

  4. The Athletics Compliance Office assigns the form to the head coach in JumpForward or hard copy prior to JumpForward implementation.

  5. The head coach completes section II of the form in JumpForward and submits it to the Athletics Compliance Office or hard copy prior to implementation of JumpForward.

  6.  The Athletics Compliance Office assigns the form to the Athletics Director in JumpForward or a hard copy of scan/email prior to implementation of JumpForward.,

  7. The Athletics Director completes section III of the form in JumpForward and submits it to the Athletics Compliance Office or by email prior to JumpForward implementation.

  8. The Athletics Compliance Office saves the Student-Athlete Notification of Transfer Form on file in the Athletics Compliance Office.

  9. The Athletics Compliance Office completes the transfer tracer in the national transfer database upon request from other institutions.
