Section XII: Compliance Related Job Descriptions

1. UAH President:

  • Chief Executive Officer of institution and ultimate responsibility of intercollegiate athletics program (NCAA Bylaw 6.1.1)
  • Other oversight signatures as necessary
  • NCAA Multi-divisional Review participation
  • NCAA Learning Portal Attestation of Rules Compliance modules
  • NCAA Learning Portal Attestation of Sexual Violence Education

2. Director of Athletics:

  • NCAA Squad List approval
  • Other NCAA document approvals as requested by NCAA
  • Eligibility list(s) approval
  • Charitable, Educational and Institutional Appearance Approval (DI)
  • EADA report
  • Outside financial audit as required by NCAA
  • Facility rental monitoring for bylaw adherence
  • Student Athlete Time Commitment Survey Review
  • Multidivisional Review Participant
  • All aspects of NCAA and conference compliance
  • NCAA Learning Portal Attestation of Rules Compliance modules
  • NCAA Learning Portal Attestation of Sexual Violence Education

3. Director of Athletic Compliance: 

  • Assist in completion of required NCAA reports, including the GSR for DII, APP for DI, Sports Sponsorship and Demographics form (August 1), NCAA student-athlete mandated paperwork, mid-season eligibility certifications as necessary, (various dates throughout the academic year), NCAA Learning Portal Attestations, and other reports as they arise

  • Assist in completing the NCAA Institutional Self Study every five years

  • Lead on NCAA required Multidivisional Review every four years

  • Assist in the NCAA graduation rates report due June 1

  • Assist in Gender Equity reports and Equity in Athletics reports (typically Oct.)

  • NCAA Educational sessions

    • With student-athletes in the Fall, which includes signatures on required NCAA paperwork (drug testing forms, student-athlete statement, HIPAA, and International Student Athlete forms)

    • Six 30-90 minute educational sessions and/or learning modules

    • Student-host educational sessions

    • Athletic department staff; tickets and sports information

    • Campus community; i.e. financial aid, registrar, admissions

  • Preparation and submission to the applicable conference NCAA eligibility sheets, financial aid listings, and/or squad lists as required

  • NLI preparation and work with SWA and institutional financial aid department for athletic scholarship grants

  • Attend NCAA convention and serve as delegate when  needed

  • Attend NCAA sponsored rules education sessions during the summer; assist registrar and financial aid representatives in attending

  • Attend Gulf South Conference meeting for compliance coordinators during the summer; assist registrar and financial aid in attending

  • Monitoring the adherence to NCAA rules and regulations by the institution

  • Play a role in institutional inquiries into alleged or suspected NCAA and conference rules violations

  • Main coordinator for CAi, LSDBi, and NCAA Eligibility Center input of data and reports; including Eligibility Center Institutional Request List

  • Monitor CPR/AED and First Aid certifications

  • Secondary contact for NCAA drug tests

  • Assist training department in drug testing as needed

  • NCAA My Applications site administrator

  • AMA and RSO Online Waiver and Interpretation Requests

  • Medical hardship requests

  • JumpForward administrator

  • United Educators Learning Module administrator

  • LifeSkills program development

4. Faculty Athletic Representative:

  • Assure academic integrity of athletics program.

  • Monitor academic performance of student-athletes.

  • Monitor delivery of academic services to student-athletes.

  • Act as the senior faculty advisor on athletics to the CEO.

  • Serve as Chairman of the Intercollegiate Athletics Committee.

  • Report regularly to Faculty Senate regarding athletics.

  • Serve as a delegate to the NCAA Convention.

  • Monitor the student-athletes experience.

  • Meet with the Student-Athlete Advisory Committee.

  • Handle mandated exit interviews for Division I student-athletes.

  • Have thorough and timely knowledge of NCAA, conference, and University rules as they pertain to UAH athletics.

  • Play a central role in major institutional inquiries into alleged or suspected rules violations.

  • Serve on committees for eligibility and student-athlete welfare as needed.

  • GSC Eligibility Certification

  • Assist Director of Athletics, Senior Woman Administrator, and Director of

    • Athletics Compliance as needed with NCAA rules and regulations and eligibility issues.

    • Coaches’ Certification Exam

  • NCAA My Applications capabilities

  • Assist in AMA Online Waiver requests

5. Budget Analyst:

  • Will call tickets

  • All athletic revenue and expenses according to University accounting regulations

  • Monitor recruiting funds and expenses

6. Head Trainer:

  • Student Athlete exit interviews

  • Student-athlete pre-season physicals

  • Student-Athlete pre-season sickle cell solubility test (DI) (Addition DII 8-1-12)

  • Primary contact for NCAA and university drug tests

  • Assist in medical hardship requests for student-athletes

  • Coordinate insurance policies and procedures for student-athletes; including but not limited to verification that all student athletes show proof of coverage pre-season

  • Daily physical health and welfare of student athletes at practices, conditioning and contests

7. Marketing Coordinator:

  • Will call tickets

  • Charitable, Institutional, Educational Appearances

  • Student athlete amateurism

8. Senior Woman Administrator:

  • Assist with exit interviews

  • Assist with time commitment surveys

  • SAAC Advisor

  • Overall rules compliance as an administrator

  • Rules educator for boosters, athletic interests

9. Manager of Internal Operations:

  • Varsity room and other entertainment for sponsors and booster

  • Maintain records and assure NCAA rules and compliance for athletic related aid

  • Distribution of athletic aid

  • Coordinate with financial aid; including non-renewal and/or scholarship reduction letters

  • Will call tickets when event manager at certain events

10. Registrar:

  • Eligibility sheet certifications

  • Returning student athlete individual eligibility certification

  • Two year transfer individual eligibility certifications

  • NCAA Eligibility Center matriculation verifications

  • Attend conference summer meetings for registrars

  • Attend NCAA Regional Rules Seminars as able

  • Assist compliance as needed, especially in area of eligibility and including international eligibility

  • Serve as liaison for compliance issues as they arise

  • Appoint representative for responsibilities, ie Associate Registrar

11. Financial Aid: 

  • Squad lists and financial aid listings; including determining athletic related aid and non-countable aid

  • Attend conference summer meetings for financial aid

  • Attend NCAA Regional Rules Seminars as able

  • Letters for reduction, cancellation or non-renewal of athletic financial aid

  • Hearing of appeals for reduction, cancellation or non-renewal of athletic financial aid

  • Assist compliance as needed, particularly in area of eligibility

  • CAi capabilities for financial aid and squad lists

  • Cost of attendance figures for squad lists/financial aid listings

12. Sports Information:

  • Clear release signing of prospective student athletes with compliance prior to releasing information to the public

  • Student-athlete Buckley Amendment for sports information release

  • Online posting of compliance information for student-athletes, community, and prospective student-athletes

  • Appearances that are in area’s purview

13. Admissions:

  • Admit students along normal admissions procedures

  • Work with prospective student athletes and coaches as would any student

  • Assist in communication with athletic department regarding admission decisions of prospective student athletes

  • Assist in communication with athletic department regarding if a prospective student athlete has signed a written offer of admission

  • Access to CAi recruiting list for next academic year

  • Access to LSDBI EC IRL information for recruiting lkist

  • Collect final high school transcripts and monitor all student athletes are admitted according to regular university procedures

  • Set up and coordinate with compliance summer educational meetings for admissions counselors regarding NCAA rules and regulations

14. Associate Vice President/Budgets & Financial Planning:

  • All financial audits, internal and external, required by NCAA

  • Lead on EADA reports

  • Assist in athletics funds and expenses according to UA system financial rules

15. Director of Institutional Research:

  • Collect and apply information for EADA, APP, GSR reports

  • Figures annually to assist in averaging method for equivalency calculations if needed

16.Head Coaches and Assistant Coaches:

  • CPR/AED certifications up to date

  • NCAA coaches recruiting/CARA learning modules certification

  • Approve and sign eligibility lists and financial aid/squad list(s) (Affirmation of Eligibility)

  • Declaration of playing and practice season

  • Countable athletic related activity forms

  • Report to Office of Diversity on campus events that include minors in attendance

  • Outside income approval

  • Outside income summary report

  • Student athlete forms for leaving team

  • Student athlete exit interviews DI

  • Booster education

  • Equipment maintenance and retrieval

  • Applicable monitoring forms for all bylaws

  • Adherence to all NCAA rules and sport rules

  • All team requirements

  • Sexual Violence and Title IX education

17. LifeSkills Coordinator
